Paper Filing - How to Set Up a New System

We're supposed to be in paperless society, right? There's a proliferation of cyber-information on the Internet, scanners on every desk, e-mail, e-books, virtual catalogs, webinars, virtual property tours, and so much more available via computer, so why should we even have any paper floating around at all? If you're like me, you are overwhelmed with the amount of paper that's generated from the computer. Paperless? I don't think so!

We're going to address two ways to set up a new filing system, whether you're starting a new filing system from scratch or you've already done a sort and purge and have gone through, removed, shredded, recycled or archived old files from an existing file drawer. (Note: if you need help on how to get started with a sort and purge, we'll address that in another article, or you can contact me for additional information).

Traditional Filing Cabinet

Before you begin, you'll need to have on hand a supply of hanging file folders and manila folders. Use what you already have on hand before going out to buy more supplies. You might be surprised at what you have tucked away in storage that you didn't remember buying!

Begin by labeling each hanging file folder with a main topic name on the tab; the manila folders will be labeled with the sub-topics headings. The manila folders will go inside the hanging folders (you may want to look for folders which are shorter than regular height manila folders; these are designed so that the folder tab doesn't stick up above the hanging folder and cover up the hanging folder tag.

I use a hand-written index "map", which is just a list that reminds me of the names of the files that I have. I keep this sheet inside a plastic sleeve, in the very front folder of the filing cabinet drawer. I have the list separated into several columns, with the main topic (your hanging folder tab label name) listed in the far left column, then I write in the name of the new sub-topic folders (the manila folder headings) in the next columns to the right of the main topic, along that same row. I do this in pencil, so that I can easily erase and add new sub-topics, to keep it maintained.

For me, it's too hard to try to keep up a full computerized listing of my files, or to try to bounce back and forth from file cabinet to computer to input the titles or makes any changes, especially since my "hot" files (the files that I need immediate access to) change so frequently, so the hard-copy index listing seems to work better for me.

Sometimes, the index listing gets pretty beat up from being handled so often, so I may have to re-copy it or I can decide to create a computer template of it and input the topic names and folders that I know won't change. I can then print a fresh list and handwrite in the folder names that may be temporary.

Binder Filing System

An alternate method that I use a lot too, is a binder system, rather than a file cabinet. The supplies that you'll need to start out with are three ring binders, sheet protectors, and wide-width tab dividers, available at any local or on-line office supply store.

Let's take the example of creating a binder for a scrapbooking hobbyist. I would start with a new 3 ring binder and label it "Scrapbook Layouts", then use page protectors and slip in any new class pages that I receive (and take out any pages that I think I'll never use). The pages could also be divided into sub-categories, using wide-width tab dividers. In many cases, the binder system seems to works better than a traditional filing cabinet system, especially if you add pages frequently or would like to have an easy way to refer to the pages when you do your scrapbooking (just pull the binder off the shelf and glance through the pages for ideas). The binder could also be stored on a bookcase with your other books on scrapbooking or related hobbies, or with your albums or scrapbooking supplies. This way, you can keep the binder in close proximity to where it will be used, and save extra time and effort, rather than have to search through your file cabinet folders for the ideas. Files stored in filing cabinets tend to have the disadvantage of being out of sight, out of mind.

Why You Should Oil Your Paper Shredder (And How to Do It)

If you have a paper shredder, it's important to take good care of it. This is so you'll not only be able to get the most out of your device, but also keep all of your information under wraps. One of the most important ways you can maintain your shredder is regularly oiling it. Here's some information about why oiling your machine is important as well as a few tips on how to do it successfully.

Why you should do it. Your paper shredder is like any other machine in that it needs to be maintained in order to operate properly. Whenever you shred your documents, bits of paper dust coat the device's blades and cutting mechanism. This can greatly impact the efficiency of the machine and it can even make the device age prematurely. The motor can also burn out, which means you'll have to buy a whole new machine, which is inconvenient and can be expensive. Think of your shredder like you would a car: you need to regularly change the oil in your vehicle to keep it in top condition. If you don't, you're going to experience problems. When to do it. A good rule of thumb is to lubricate it once for every half hour of shredding if you're using a cross-cut device. If your device is a strip-cut model, once every hour should be sufficient if you're using it continuously. Your instruction manual will also give you guidelines regarding a proper lubrication schedule. How to do it. There are two ways of oiling your shredder. First, you can use an automatic oiler, which is a device that attaches to the machine and does the maintenance for you. Automatic oilers are usually designed for larger shredders, such as departmental ones, so this may not be an option for you depending on the type of machine you have. Another option is to oil your machine manually. The good news is that it's extremely easy to do and it only takes a minute or so. All you need to do is dampen a sheet of paper with oil and then run it through the device. Just be sure that you only use shredder oil. If you use a different type of lubricant (i.e. olive oil), you could damage the device and possibly even void the warranty.

Regularly oiling your paper shredder is a necessity no matter if you use a cross-cut or strip-cut model. Doing so ensures that your machine will shred an optimum amount and that the motor won't burn out suddenly. One of the most important pieces of furniture in any office is going to be the conference table. As its name implies, important for conferences as well as necessary for company meetings. Many times in the past I have held small meetings with clients or large brainstorming sessions around the conference table.

One of the first things we, as a company found out about our table was that we had purchased an item of furniture that was just too small for all the types of meetings that were held upon it. We originally allowed for placing all company staff (we were not a multi-national) and bought accordingly.

But it quite often turned that there was never enough room for all the paper work that got spread out and passed around. Nor was there enough space for more chairs on the occasions we invited someone into the office to give a presentation. And especially if they had brought along support staff. So make sure that you select the size you want, and then go up to at least the next size. Saves replacing the table if your business gets larger and you pick up more staff.

Type of table and design also makes a difference. If you have a table for 12 or more, consider the benefits of a boat shaped conference table. With the curves on each side, everyone at the table has a good view of proceedings without having to crane forward. A smaller table can comfortably be the racetrack shape table as it allows an extra chair or 2 on its rounded ends.

Then there are Bowtie shaped tables but I have found these tend to cut the people sitting along the ends out of the conversation.

A folding conference table is the go if you're limited for office space. Capable of turning a storage space, canteen or even a gymnasium into a meeting room at a moments notice, a folding conference table allows any room in a company a multi purpose function.

Folding and storing once the meeting is over can be a nuisance and we found it necessary to delegate this to certain staff members prior to the meeting, or otherwise one person was left to this task as usual. But a folding table certainly has its merits if you don't have a permanent meeting room.

You'll need a very large room if you want a round conference table for 12 or more people but small round conference tables can look great, use little room and be perfect for 4 to 6 people.

If you entertain clients in your office, you must select a table that looks like quality and success. Appearances tell all and nothing will give a bad impression more than inviting guests to sit around a particularly cheap looking conference table. Go for solid, highly polished rich timber finish. Nothing shows business confidence more than a well designed, solid timber table.

But if the table is intended to be used for many purposes, have a look at some of the vinyl or polyurethane finishes.

Along with a nice shiny expansive conference table, give a thought to your chairs. You may end up seated at the table for lengthy sessions, so find a style that looks good but doesn't numb your brain as it slowly numbs your posterior.

How the Furniture Hire Marketplace Has Moved on Over Time

Furniture hire is a different beast compared to the fold up tables and chairs we used to see at parties when we were young, whilst getting down to Everybody is Kung Fu Fighting! How things move on.
